Volunteer Position Descriptions

Concessions (6-8 Volunteers needed for 3 home meets only)

  • Food Set-Up
  • Serve guests, take payments
  • Assist with break-down of concession station

Announcer (1 Volunteer needed for 3 home meets only)

  • Opening Announcements
  • Sponsor Announcement
  • Score Updates

Starter (1 Volunteer needed for 3 home meets only)

  • Responsible for sending swimmers off the block via the starting system and making sure each swimmer leaves on time
  • If a swimmer jumps early, the starter may penalize him or her for a false start
  • Must understand/memorize the order of events 
  • Uses PA system to get swimmers lined up on the blocks and gives orders of "Swimmers step up (or swimmers enter the water for backstroke)" and "Swimmers, take your marks", then starts the race

Clerk of Course (2 Volunteers needed for all 6 meets)

  • The Clerk of Course job is critical to running an efficient meet.
  • The COC runs a staging area where swimmers are lined up according to their assigned heats and lanes. 
  • The COC works closely w/Kid Pushers to get all swimmers to the blocks in a timely manner and consolidate heats (where appropriate) to save time.

Stroke & Turn Judge (1 Volunteer needed for all 6 meets) 

  • We would like to have 2 S&T judges this season 
  • Requires strong knowledge of proper stroke movement.
  • TSA or USA Swimming certification require

Meet Administrator (1 Volunteer needed for all 6 meets)

  • The Meet Administrator enters meet info, times, and DQs – essentially a book-keeping role.
  • If needed, we can add assistants to have a team that is entering meet data.
  • Works in tandem with the meet administrator for the opposing team

Timer (7+ Volunteers needed for all 6 meets)

  • 1 Head Timer needed (previous swim meet experience preferred)
  • 2 Timers needed in 3 lanes for each meet (6 total)
    • Lanes 1,3,5 for Home Meets & Lanes 2,4,6 for Away Meets
  • Additional 2 volunteers needed for substitution/rotations 
  • Timers are welcome to self-coordinate a partner to swap out with at the meet halfway point, but they must notify the Timing Coordinator of the arrangement at the start of the meet

Order of Finish Judge (1 Volunteer needed for all 6 meets)

  • Position requires focus during the first heat of all events
  • Records the order of finish by lanes for first heats.
    • Record goes to the Runners

Runner (2 Volunteers needed for all 6 meets)

  • Take order of finish slips to Meet Administrator
  • Collect time sheets from Timers after each event and take to Meet Administrator
  • Periodic check-in with Stroke & Turn Judge for Disqualification Forms

Ribbon Writer (2 Volunteers needed for all 6 meets)

  • This role is not timer dependent so volunteers can take brief breaks to watch their children’s heats

Kid Pusher (4 Volunteers needed for all 6 meets)

  • Kid Pushers gather all swimmers in their assigned age group and take them to the Clerk of Course
  • Responsible for 6&U Girls, 6&U Boys, 7-8 Girls, 7-8 Boys, 9-10 Girls, and 9-10 Boys
  • Once their group is arranged by the COC, the Kid Pusher escorts the swimmers to the starting blocks and ensures swimmer stay in proper heat and lane assignments
  • Great job for sibling assistants to carry signs while you gather swimmers

Heat Winner Ribbon Distributor (2 Volunteers needed for 3 home meets)

  • Hand Out 'Heat Winner’ Ribbon for All Heats except Heat 1 and Relay Races
  • Only hand out for 6&Under, 7-8, and 9-10 age groups
  • The volunteer is their own judge–when in doubt hand out 2 Heat Winner ribbons

Participant Ribbons Distributor (2 Volunteers needed for 3 home meets) 

  • Hand Out 'Participant’ Ribbon for All Heats except Heat 1 and Relay Races
  • Important: Only hand out for 6&Under, 7-8, 9-10 age groups

Water Runner (1 Volunteer needed for 3 home meets only)

  • Fill Designated Cooler with Ice and Bottled Water
  • Distribute bottled water to Coaches and Volunteers of both teams 2-3xs per meet

Meet Set-Up/Break-down Crew (3-6 Volunteers for 3 home meets only)

  • Arrive at NRSC by 3:30 pm on Home Swim Meet Days
  • Set up starting blocks
  • Set up lights on fence side of pool
  • Put away game tables that are on the covered patio area
  • Set up starter stand
  • Set up speakers and PA system
  • Rope off pool
  • Ensure 2 picnic tables are on the covered patio for scorer & ribbon writers
  • Place 6 & under rope under diving board
  • Set up Clerk of Course: 2 white benches & chairs for 3 heats of 3 lanes
  • Set up coaches chairs for visiting team (Qty 3)
  • Set up concessions: Location TBD
    • Set up iPad, Square credit card reader, and cash box for concessions
    •  Set up 2-3 Heavy Duty 50’ Extension Cords w/ Fan-Out Attachments
  • **Lifeguards Tasks: Vacuum Pool, Blow Off Pool Deck, Install Lane Ropes
  • Breakdown crew will undo the work of the set-up crew in order to ensure the pool is ready for normal operations the following day
